Business Manager, Majority Action
Location: Remote; prefer Eastern Time Zone with occasional travel for team meetings

About the Role
The Business Manager provides collaborative leadership in several areas of financial, human resource, and general office & information management.
Financial responsibilities include, with the help of outside consultants, managing the general ledger, accounts receivable, accounts payable and payroll. The Business Manager leads audit schedule and tax return preparation and serves as the primary contact for annual financial audits. The position is responsible for financial reporting to staff, Board of Directors, and grant funders and assists the Executive Director with preparation of the annual budget.
Human resource management includes maintaining personnel files, coordinating payroll processing with the third-party payroll vendor, overseeing employee benefit enrollment and annual benefit renewals, and executing the required tax filings and reports.
General office & information management includes responsibility for all the elements essential to a remote team working together effectively. This includes coordinating software deployment, basic IT support, and data integrity and security of information.
Specific Duties Include:
Financial Management:
Establish and implement financial policies and procedures as required to maintain adequate internal controls.
Working with consultants, maintain accounts receivable and payables, payroll, general ledger and related ledgers, financial reports and tax filings following Majority Action policies and procedures
Ensure consultants are able to prepare entries to the general ledger and reconcile with source documents and transactions to ensure accuracy and resolve any discrepancies.
Review and reconcile all accounts monthly. Track daily cash balances and maintain a cash flow forecast to ensure adequate funds are available to meet operating requirements.
Prepare monthly financial statements for management and the Board of Directors.
Assist the Executive Director and the Treasurer of the Board of Directors in developing reports to the Board of Directors.
Prepare quarterly and annual tax reports for various State and Federal agencies.
Prepare quarterly and annual reports as needed for grant requirements.
Prepare annual budget, monitor and research monthly and quarterly variances and provide explanations and coordinate plans of correction.
Prepare schedules and coordinate the annual financial audits and provide financial data for program audits.
Assist with grant development and provide financial data for new grant proposals.
Human Resources:
Maintain personnel files including application and resume files, leave records, and benefit plan records.
Process employee bi-weekly time sheets with the third-party payroll vendor. Track leave time balances and provide reports to managers.
Organize and coordinate annual open enrollment and benefit plan renewals.
Orient newly hired employees to organizational policies, practices and procedures
Assist employees with employment, leave, and benefit plan questions.
Prepare periodic benefit reports and notify insurance carriers of additions, deletions and changes to plan participant lists.
Develop and implement new policies and procedures as required.
Office & Information Management:
Oversee the functionality, maintenance, and upgrading of software and hardware needed by a remote team
Manage organizational memberships
Manage vendor relationships
Ensure the safe-guarding of information systems through access controls, password protection, and reliable data back-up plans.
Manage incoming and outgoing mail.
Develop and implement new policies and procedures as required.
Skills & Abilities Required:
Relevant work experience -- you’ve done this job before.
Familiar with generally accepted accounting principles and non-profit accounting.
Familiar with labor and personnel laws and practices.
Proficiency with QuickBooks
Patient, personable and approachable. Able to work with diverse people, build and maintain strong working relationships with both internal and external partners.
Highly self-motivated with the ability to work independently
Able to develop and follow a prioritized plan of work, set and keep deadlines and work on multiple projects concurrently.
Ability to exercise good judgment and be responsive to time sensitive organizational priorities and competing demands.
Strong communication skills with the ability to listen well, and write and speak effectively.
Collaborative leadership; able to contribute to a high functioning team environment.
Ability to manage and disseminate information accurately and effectively.
Compensation
This is a full-time position, but we will consider strong applicants desiring a part-time role. The salary is $60,000 - $80,000, commensurate with experience.
